When Maya Chen opens the published qualification form, she enters Your name, Your email, and the answers requested by its published version. She can submit without a school account. Send my answers records a final response; she cannot revise it afterward. The form's public address determines the school and version. It does not let a respondent select a different tenant.
Only the school's owner or admins can open and process application responses. In CRM → Forms, open the form and choose View responses. The Responses list shows the newest submissions and can be filtered by form, attached program/cohort, or status. Open Maya's response detail to read her submitted name and email, Answered questionnaire, version stamp, answers, and current status. The wording and answer types reflect the version she actually answered, even if the owner has since edited or republished the form.
Maya's response begins Untreated. Read her goal and experience before choosing Process the response. In the decision sheet, choose a Status. For a promising candidate who needs a conversation, choose To follow up and set the required Follow-up date. Add a Decision reason if it helps explain the action, and an optional Score from 0 to 100 if your school uses one. Choose Save the decision, then confirm the response shows the new status and due date. The date is shown only for To follow up; it is not a general reminder field.
| Response status | Meaning for the next action |
|---|---|
| Untreated | No triage decision yet; review the answers |
| Processed | Reviewed, with another decision still possible |
| To follow up | A follow-up date is required; the list flags due or overdue work |
| Qualified | Final positive decision; a reason is required and no further status decision is offered |
| Disqualified | Final negative decision; a reason is required and no further status decision is offered |
If Maya needs context that does not belong in a status decision, use Internal comments → Add a comment. A saved comment is attributed and appears newest first to authorized school readers; it is never visible to Maya and is not an email or a follow-up message. The response detail may also show other submissions using the same email. Treat them as a clue for human review, not proof of identity or an automatic merge.
After marking To follow up, an owner/admin still has to arrange the actual conversation. Setting & Booking covers booking; Closing, Offers & Payments covers a named offer after a commercial decision. Neither the triage status nor score sends a message, creates a paid enrollment, or grants course access. The CRM Person's status remains a distinct context from this application's status. Setter and closer responsibilities do not grant access to this response screen.
Response reads, statistics and AI retry are available through the Forms API and MCP. Human triage decisions remain school screen flows. A full opportunity pipeline and automated sales handoff remain deferred.
The form Responses page shows a separate read-only Incomplete responses section with identity, last save date and original questions/answers. These are not submitted applications: no qualification, acceptance, rejection or analysis action is offered. Stats count them separately; submitted qualification rates exclude them. They leave the incomplete section only when the candidate explicitly sends the final response.
