Open Bookings, or select a call in Agenda, then choose Edit call. Owners and organization admins can edit all calls. Closers edit their assigned calls. Setters can consult calls they booked, without private notes.
When you save a changed meeting link and the prospect has an email, choose Save without email or Save and send. Saving and emailing are separate: an email failure does not discard your edit. A delivery-disabled or missing-address result is reported explicitly. Email replies go to the assigned closer. The prospect keeps their original personal link for rescheduling or cancelling.
In Bookings, Default meeting links lets you save a room for each eligible closer. A closer can configure only their own default. The default is copied when a new call is booked. Existing calls keep their own editable link, even after reassignment.
The public appointment page and newly downloaded calendar events reflect current meeting information. Previously imported Google or Outlook events are not automatically synchronized by this feature.
For agents and integrations, see booking details, editing a call and closer defaults.
Open the call from the row’s three-dot menu or the agenda. Owner/admin can manage organization calls; a closer can manage their assigned calls. A setter only reads calls they booked. Private notes remain visible only to owner/admin and the assigned closer.
Resend email sends current appointment details and the personal management link without changing the call. Send reminder lets you edit its subject and message before sending; the recipient gets a request-bound confirmation link. Initial confirmations and ordinary resends do not ask for presence confirmation. Delivery history distinguishes sent, failed, disabled/no email and uncertain delivery; sent does not mean read.
The public page allows a message to the closer, report and cancellation while allowed. An email reply goes directly to the closer’s professional contact address, or their account email if none is configured. Replies from the mailbox are not copied into Cohorte. Messages submitted on the public page are saved on the call. There is no closer chat composer.
Organization settings contain reminder activation, delays, subjects/messages and the late-report switch. Defaults are24hours and2hours. Settings changes affect only new bookings. Past deadlines are never caught up. At each deadline a confirmation within the preceding24hours for the same schedule suppresses the next request. Older confirmation may require a fresh request. Rescheduling resets presence and invalidates old requests; cancellation stops pending reminders. Nothing automatically cancels an unconfirmed call.
By default the prospect cannot report within the final24hours (including exactly24hours). Enable late reporting to permit it until the appointment starts. Authorized operators can report independent of this cutoff. Cancellation remains available before start. Presence confirmation requires a valid sent reminder request and an upcoming active booking.
After the call, owner/admin or assigned closer records Attended or No-show. Corrections are audited. This result is independent of prior confirmation and does not claim a statistical probability.
The closer settings card contains the default meeting URL and optional professional email. Empty professional email uses the account email; login identity stays unchanged. The default meeting URL is copied into new calls and can be replaced or cleared per call. Updating a call’s link updates its public page/calendar; email requires the explicit save-and-send choice.
Connect Google Calendar or Outlook as the signed-in closer, then select a writable calendar. Cohorte owns the call fields and updates one external event per call; private notes and prospect-management secrets are excluded. External busy periods block displayed and final booking availability. A provider failure blocks the affected closer’s availability until recovery; it is never shown as a successful sync. Disconnecting removes local access and leaves existing events in the external calendar.
